Booking Terms & Conditions

What the conference fee includes:

  • Entrance to all conference sessions
  • Entrance to the exhibition
  • Daytime refreshments and lunch (both days)
  • 3 course evening meal and entertainment – 6th July
  • The delegate pack
  • Copies of all workshop presentations

Booking your place:

Please ensure you have your organisations authority to make this booking and that they agree to pay the invoice in full.

Upon making your booking on the website or using a paper booking form you will receive a notification that your booking has been successful.

  • An invoice will be issued within 14 days of you making a booking. Payment for this invoice is then due immediately.
  • If payment is not received within 28 days of date of invoice your delegate place and workshop choices will no longer be guaranteed. (Only by prompt payment of invoice can your delegate place and workshop choices be guaranteed).



Delegates must make their own accommodation arrangements.  Tpas are not liable for any delegate who has not made their own arrangements. A list of hotel options is provided on the conference website.

Membership discount:

Membership status will be checked prior to issuing the invoice to ensure the correct fee is charged. To qualify for the membership discount your organisation’s membership invoice must be paid and up to date.


All cancellations must be made in writing. Email is acceptable.

If you cancel a booking:

  • Between 1st May 2022  -1st June 2022
    An administration fee of £50.00 + VAT for each delegate will be payable.
  • Between 1st June 2022 – 6th July 2022 – The full cost of each delegate will be payable.

We aim to make sure that all conference sessions go ahead as planned. However, there may be times when due to circumstances beyond our control we have to cancel sessions. Should this be the case we will provide as much notice as possible.

Early bird rate:

A special early bird rate is available to all delegates who book and PAY by the 1st June 2022. A supplementary invoice will be raised for delegates charged at the early bird rate if balance remains unpaid by 6th July 2022.


If you are unable to attend, you can send a replacement delegate up to 72 hours before the start of the conference. Please notify the conference office in writing.

Any special requirements for the replacement delegate will be met wherever possible but cannot be guaranteed.

Accuracy of information:

While every effort is made to ensure that the information contained within the programme and the website is accurate and current, Tpas gives no warranty as to the accuracy of the information provided and accepts no liability for any loss caused by reliance on the information provided. Tpas reserves the right to alter the programme without prior notice due to unforeseen circumstances.

Mobility Issues

The conference is held in an accessible venue. Delegates with mobility issues and those with special needs must inform the conference team in the space allocated on the booking form of their exact requirements so that the necessary arrangements can be made.


The copyright Designs and Patents Acts assign the copyright of the images to Tpas.

By attending the event, you are consenting to pictures being taken of you, and used to generally promote the organisation, its values, aims and future events. This may include but is not limited to: advertising, email and print publications, our website and social networking.

Should you have concerns regarding the use of images being taken of you at this event, please make us aware in writing before registering your place to avoid cancellation and the associated charges.

Equal Opportunities:

Tpas does not discriminate against anyone in the planning of its events and as such our conferences are open to anyone who considers it suitable for them to attend. If requested there will also be a ‘sign’ facilitator on the stage throughout the opening and closing sessions of the conference for anyone with hearing difficulties.

Email communications:

As per the privacy statement, all delegates will receive information about their booking through email such as joining instructions and presentations after the conference is complete.

By agreeing to the terms and conditions delegates will also be opted into an emailing list to update them on future events that may be of interest to them.

Delegates have the option of unsubscribing from receiving information about future events by clicking on the ‘unsubscribe’ link at the bottom of every Tpas Conference past delegate email.

This will unsubscribe them from being on the Tpas Conference mailing list but it will not pause emails from Connectin Events other mailing lists.

Other terms and conditions:

All delegates are required to agree to abide by the Tpas Code of Conduct which is available from the conference office or on the Tpas website. All delegates are requested to wear their conference name badges at all times. Any delegate failing to do so will be asked to leave the conference area.
